What We Collect

Information you give us

  • Contact, membership, volunteering and planned giving forms (including the “Contact Me” forms on our chapter pages): your name, email address, phone number, city, how you would like to be contacted, what you are interested in and anything you write in your message.
  • Newsletter sign-up: your name and email address.
  • Donations and purchases (donations, gift cards, e-cards and fundraisers): your name, contact details, address and the amount and purpose of your gift. Payments are processed by our payment providers; we never see or store your full card number.
  • Emails, calls and letters you send us, and the information in them.

Information collected automatically

  • Form security: when you send a form, we record the date and your IP address to protect our forms from spam and abuse.
  • Server logs: like every website, our server records the IP address of each visit, the page requested, the date and time and your browser type. We use these only for security and to fix problems.
  • Analytics, only if you accept: if you click “Accept” in our cookie banner, Google Analytics records how you use the site (pages viewed, time on site, approximate location, device type). If you decline, it is never loaded.

We do not ask for sensitive information such as health or government ID information through this website, and we do not make decisions about you based solely on automated processing.

Why We Use It

  • To answer your questions and requests, and to put you in touch with your local chapter.
  • To welcome you as a member or volunteer and keep you informed about Na’amat Canada’s activities.
  • To process your donation or purchase, issue tax receipts and meet our legal and accounting obligations.
  • To send you our newsletter, if you subscribed. You can unsubscribe at any time with the link in every email.
  • With your consent, to understand how visitors use our site so we can improve it.
  • To keep our website and systems secure.

We only use your information for the purpose we collected it for, unless you consent to another use or the law allows it. We do not sell, rent or trade your personal information.

Photographs at Events

Photographs may be taken at virtual or in-person events hosted by Na’amat Canada and used in our print and online publications and on social media. If you do not wish to be photographed, please tell the event organizers. To have a photo of you removed from our website or social media, contact us at the address above.

Who We Share It With

We share your information only with suppliers who need it to provide their service to us. Each may use it only for that purpose.

  • Our hosting provider stores our website and the messages sent through our forms.
  • Microsoft 365 hosts the mailboxes where form notifications and your emails are delivered.
  • Your local Na’amat Canada chapter receives the messages you send from its chapter page.
  • Constant Contact sends our newsletter and stores our subscriber list.
  • Stripe processes online payments, and DonorPerfect holds our donor records and issues tax receipts.
  • Google provides Google Analytics (only if you accept analytics cookies), the fonts used on our site and the spam protection (reCAPTCHA) on our newsletter form.
  • YouTube and LightWidget/Instagram show the videos and photo gallery embedded on some pages.
  • Content delivery networks (such as cdnjs) serve some of the code our pages use. Like any website your browser contacts, they receive your IP address.

We may also disclose information when the law requires it, for example in response to a court order.

Information Stored Outside Quebec

Our servers and several of our suppliers are located outside Quebec. Your information may therefore be stored or processed outside Quebec. Before any such transfer, we assess whether the information will receive adequate protection, taking into account its sensitivity, the purpose of the transfer, the protection measures in place and the legal framework where it will be held. We use suppliers whose terms require them to protect it.

Your Rights

Under Quebec’s Law 25, you have the right to:

  • Access the personal information we hold about you.
  • Correct it if it is inaccurate, incomplete or out of date.
  • Withdraw your consent to its use at any time, including your consent to analytics cookies and to our newsletter.
  • Ask us to stop distributing your information or to de-index any link to it, where the law allows.

  • Know what information we hold, why, who has access to it and how long we keep it.

To exercise any of these rights, write to the person in charge of the protection of personal information at naamat@naamat.com. We may ask you to confirm your identity. We will answer within 30 days, free of charge. If you are not satisfied with our answer, you can file a complaint with the Commission d’accès à l’information du Québec.

Security and Incidents

We protect your information with measures suited to its sensitivity: encrypted connections (HTTPS), access limited to the people who need it, password-protected administration and spam and abuse protection on our forms.

No system is completely secure. If a confidentiality incident occurs, we record it in our incident register, take steps to reduce the risk of harm and, if there is a risk of serious injury, promptly notify the Commission d’accès à l’information and the people affected.

How We Manage Privacy

  • Responsibility: the person in charge of the protection of personal information oversees how personal information is handled and approves its destruction.
  • Access: only staff and volunteers who need information to do their work can see it.
  • Retention and destruction: we follow the periods above.
  • Complaints: questions and complaints go to the person in charge, who answers within 30 days.
  • Children: our website is not intended for children under 14, and we do not knowingly collect their information online.

Changes to This Policy

We may update this policy to reflect changes in our practices or in the law. We will post the new version on this page and update the date at the top. If a change is significant, we will say so clearly on our website before it takes effect.
